Request for Proposals: Filming for Virtual Annual Meeting

The Downtown Committee of Syracuse will host its 2021 Annual Meeting virtually on Thursday, June 24, 2021. This annual event includes a presentation of our annual Awards of Excellence in three categories. We are seeking proposals for the production of three separate 1-minute videos to showcase these businesses during the event, as well as the production of approximately 15-17 minutes of introductory remarks performed by four individuals for the event program.  

The project requires discretion and confidentiality, as those filmed for the awards will not be announced as the winners until they are unveiled at the June 24 event. All meetings and filming sessions must follow proper social distancing and mask wearing protocols.

Please prepare your quotation (total price for completed work) for all three videos and the introductory remarks based on:

  • Interviews with 3 companies (could be at their location, in studio or some combination)
  • B-roll, with incorporation of still images if necessary (provided by Downtown Committee of Syracuse)
  • Video production and editing, including background music and B-roll.
  • Provide video files in mp4 format for incorporation into the virtual event and suitable for posting on the Downtown Committee website/YouTube Channel

Project Time Frame:

  • May 24 Proposals due
  • June 1 – 9  Project kickoff with selected bidder and Downtown Committee team; Begin video scheduling/filming 
  • June 9 – 18  Ongoing video filming/begin editing 
  • June 18  Final filming and editing due
  • June 21 Final videos approved and shared with Downtown Committee
