Request for Proposals: Graphic Design Services

The Downtown Committee of Syracuse, Inc. is seeking proposals for graphic design services.

Purpose & Objectives:

The Downtown Committee seeks a graphic design firm to: enhance its current brand; produce professional, visually compelling, complementary print and digital designs and templates for use by Downtown Committee staff; update various event logos; and create designs for new collateral pieces and informational brochures.

The final design product will successfully communicate large amounts of information in a visually attractive format, and establish a consistent design across collateral materials used for online and print applications. In addition, the piece(s) should: strengthen and refine the Downtown Committee brand and support complementary yet distinct identities for its signature events; offer staff the flexibility to create high-quality, visually appealing products in-house (using InDesign) through relatively simple design and production approaches, and deliver full-service designed materials that will translate easily from the designer to specified print and online applications.

Proposals & Guidelines:

This is an open and competitive process. Submissions to this RFP should reflect the Scope of Services and terms included herein. Downtown Committee will provide content copy and imagery. If bidder has access to imagery representing aspects of the Downtown Syracuse experience, please provide a brief explanation as to how these images might be incorporated into this project.

Prices quoted should be inclusive. If prices exclude certain fees or charges, a detailed list of such fees with the complete explanation of their nature must be provided.

Submissions, should be sent electronically to Laurie Reed, Director of Marketing for the Downtown Committee of Syracuse, at with the subject line “Graphic Design Proposal from (Your Company Name),” and should be received no later than 5:00 pm on February 24, 2020. The Downtown Committee reserves the right to accept or reject any or all of the proposals received.

Bidders may be required to participate in an interview with the Downtown Committee to present their proposals.

The Downtown Committee reserves the right to add more specifications and requirements at any time. If additional requirements are added, the Downtown Committee understands this will alter components of the initial proposal submitted.

Proposal packages should include:

  • A statement of the firm’s philosophy and approach to working with clients
  • A brief overview of how you will approach this project
  • Three to five samples of relevant design work, both electronic and print examples
  • A list of recent clients and professional references
  • Anticipated timeline for development and completion of the Scope of Services outlined below
  • Costs for the following Scope of Services including any proposed “trade-value” allowance

Scope of Services:

1) Selected designer will present design concepts for:

New Publication:
- “Storefront Tips” booklet (visually appealing booklet for use in print and online)

New Templates:
- A “State of Downtown” template (annual, multi-page publication used to communicate statistics and trends, primarily online audience with potential for print) 
- Multi-purpose template used to communicate real estate statistics, business recruitment goals, economic development trends, Downtown Committee programs (and more) to a variety of constituents in a professional, concise manner
- A template to be used to package customized property search results for clients

New Design for Existing Collateral:
- Design and layout for the Downtown Housing Guide (for use online and occasional print)
- Design and layout for “About the Downtown Committee” that concisely communicates services and programs provided by the organization
- Cover imagery for the Downtown Committee Annual Report o Cover imagery for the Downtown Restaurant Guide
- Cover imagery for the Downtown list of businesses brochure o New design for 423-HELP (a non-emergency phone number) stickers (and possible translation into business card format)

Refresh of (or, potentially new) design for the following Signature Event Logos:
- Farmers Market
- Employee Appreciation Week
- Progress Breakfast
- Earth Day

2) Selected contractor will work closely with the Downtown Committee on design evolution, refinement, and approvals.

3) All final collateral and design templates must be compatible with the 2020 Adobe Creative Suite. The Downtown Committee must be able to edit documents in Photoshop and/or InDesign.

Selection Criteria:

Creativity – Prior work demonstrates artistic and innovative capability
Value/Pricing – Price is commensurate with the value offered
Timing & Project Initiation – Design work to begin immediately upon contract award

Contract Terms:

The Downtown Committee will negotiate contract terms upon selection. Project will be awarded upon signing of a contract, which outlines terms, scope, budget, timeframe and other necessary items. All contracts are subject to review by the Downtown Committee of Syracuse’s legal counsel.
